Epidemic Sound’s innovative digital rights model paves the way for creators – everyone from YouTubers to small businesses to the world’s largest brands – to use restriction-free music to take their content to the next level, whilst simultaneously supporting the musicians it works with both financially and creatively. The platform currently features over 35,000 tracks & 90,000 sound effects available to creators on a subscription basis.
The company’s ambition is to “soundtrack the world” by expanding the catalog, growing the customer base, and providing music creators with more local offerings.
The company partnered with Pibox to upgrade its file management and audio review process.

Fun & creative all-in-one tool
Managing files was a challenge, to say the least. For instrumental music, the music creators uploaded the tracks to the internal system, where A&Rs tagged the music and reviewed it. For the vocal music, A&Rs used Slack together with Google Drive. Every music creator had their own Slack group. A&Rs collected the feedback internally in a Slack group. And then they’d email the feedback to the music creators.
Pibox has replaced all of these systems for Epidemic Sound. Now the music creators and reviewers can find all the files in one place and there’s no need to search through multiple folders and send emails back and forth.
The company has also received a lot of positive reactions from the music creators about the possibility to pinpoint feedback on the exact timestamp and working in a fun & creative environment.

Efficient Workflow
It was really hard for A&Rs to get an overview of what needed to be done, which tracks to listen to. They also received numerous notifications from different channels, which made the entire process even more cumbersome and stressful.
“Every music creator had their own group. Because we have a lot of music creators, it was a lot of groups. So for me as an A&R, I might have had 50 groups active. That means I’d have to go into each group and look if there’s something new that has been uploaded. And I also received a lot of notifications”,
says Fredrik Jansson, Senior A&R at Epidemic Sound.
With Pibox, Henrik and his team have revamped their review process. It’s much easier for them to handle the music intake, review the tracks, and communicate with music creators.
In the Pibox file manager function, everyone can sort music per creator. If a new track comes in, it automatically gets the “Waiting Review” status and appears in the file manager. So any music reviewer can go to their file manager, sort by their name and the track status to instantly know what needs to be done.

Work at Epidemic Sound is not project-based, but more of an ongoing flow. When someone goes on vacation, A&Rs hand over their tasks to their colleagues. Previously, this process wasn’t always smooth and made it challenging to keep track of files.
“It was a bit of a struggle and I always thought at the back of my head if I had forgotten anything,”

Epidemic Sound has found the solution in Pibox functionality. The A&R simply needs to go into Pibox, sort by their colleague’s name to know exactly what tracks to listen to. Now the handover is done in an instant. So they’ve become much more efficient as a team.

Besides a smooth review and handover process, the team has become more self-sufficient. Instead of having catalog managers, rights managers involved in the process, A&Rs now manage almost everything themselves in Pibox. That has also significantly impacted the turnaround times and cut down costs.

When Epidemic Sound started to implement different small workflows and processes, transferring all the MCs to the new system, the company realized that Pibox would need to be adapted to its needs. However, it wasn’t a challenge the Pibox team couldn’t overcome.
